Processing of personal data by Western Uusimaa Transport Services
What kind of information will be collected about me?
Western Uusimaa Transport Services receives client data from the municipalities that serve as the controllers. The City of Espoo serves as the coordinator of Transport Services and as the processor of personal data.
The client profile includes the following information: the client’s personal data, customer service language, contact person’s information, assistive devices, need for assistance, details of the transport decision, client charge and the primary communication channel. In addition, the Transport Services application collects transport route information.

For what purpose will the data be used?
The data will only be used for the purposes of arranging transport services for the client. The contact person of the municipality will create a profile for the client in the information system of Transport Services. Transport services will be arranged for the client based on their profile. When the client books a ride, the driver will receive the following information: the client’s name, year of birth, client charge, the language that the client prefers to use and the client’s need for assistance during transport. The client can check their data through the Transport Services application.
On what grounds will my personal data be processed?
We process personal data on the following legal grounds:
- processing is necessary for compliance with a legal obligation to which the controller is subject;
- processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
How long will my data be stored?
Clients’ data will be stored for 10 years with regard to the data produced by the system (information about addresses, kilometres, dates and times and charges for rides). The system log data will be stored for 12 years.
How is my data protected?
The personnel have been trained in the safe processing of data. Only designated persons have access to personal data. All employees are bound by an obligation of confidentiality.
All data stored in the system is encrypted. The data is protected using appropriate methods and logging in to the system requires two-step authentication and predefined login details.
From which sources will my data be collected?
The controller, in other words the client’s municipality of residence, will enter the client’s data into the Transport Services system.
Who will process my personal data?
The City of Espoo provides the service for the other municipalities in Western Uusimaa, coordinates the services and serves as the processor of data. As the controllers, all municipalities are responsible for keeping their clients’ personal data up to date. FCG Smart Transportations serves as the dispatch operator and provides customer service for those booking a ride. The transport companies receive the bookings and provide transport services accordingly.
Will my data be processed outside of the EEA?
Personal data will not be processed outside of Finland.
How can I exercise my rights under the General Data Protection Regulation?
You can contact your municipality of residence that granted you the service. You can find the contact details in the privacy notice of that municipality.
